PINT’S PEAK ICE CREAM – CATERING TERMS & CONDITIONS
Effective 2025
By submitting payment, you agree to the following terms:
1. Booking & Payment
A 50% non-refundable retainer is required to reserve your event date. The remaining balance is due 7 days prior to the event. Events booked within 72 hours are subject to additional fees. We do not hold dates without a retainer. All payments are non-refundable unless otherwise stated.
2. Cancellations & Refunds
30+ days before the event: 75% of the retainer refunded.
15–29 days before the event: 50% of the retainer refunded.
14 days or fewer: No refund.
Events canceled by the client within 7 days of the event must shall be paid in full. No refunds will be given due to weather, low attendance, or venue issues.
3. Truck & Cart Service Overview
Ice Cream Truck
Truck packages include a set number of scoops and staff service. After reaching your package minimum, you will be billed for actual scoops served at your per-scoop rate. Caterer is not required to provide leftovers if minimum is not met. A 12% gratuity is added for all truck events.
Ice Cream Cart
Cart rentals include pre-packed cups with lids. Events may be drop-off/pick-up or include a server for an additional fee. A $400 event minimum applies. If staff is present, a 12% gratuity is added. Clients may keep leftover ice cream cups if desired, but must facilitate the transfer at time of pickup (e.g. have frozen storage ready and notify staff). If no one is present or prepared, all remaining product will be taken with the cart and not retained. Pint’s Peak is not responsible for any product once it leaves our possession, including melted or spoiled product.
4. Access Requirements
Ice Cream Truck
You must provide legal, approved, and accessible parking for the truck. If we cannot park due to venue limitations or lack of access, no refund will be issued.
Ice Cream Cart
You must ensure a 29-inch minimum clearance for all doorways/pathways. The cart cannot go up or down stairs, steep slopes, or over gravel/soft dirt. If we are unable to place the cart due to site limitations, all monies will be retained.
5. Client-Provided Items
If you plan to provide your own toppings or add-ons: Pint’s Peak is not responsible for the handling, service, safety, or quality of client-supplied items. Our staff will not serve, monitor, or set up any client-provided toppings or equipment.
6. Force Majeure & Covid-19
If your event is canceled or rescheduled due to a venue closure or government mandate, your retainer may be applied to a future event in the same calendar year. If requested, staff can provide proof of vaccination or a negative Covid-19 test within 48 hours for an additional $20/test fee.
